 Challenges
Volunteer and other community based organizations have many of the challenges faced by all other groups.
But for these volunteer groups this list especially true:
- Members have volunteered to belong and there is no ability to mandate how they will behave
- There is a very strong need to be responsive to the members’ desires – how and when they should be reached
- In many cases, there are a number of major repeatable events, but they aren’t monthly. Instead, they are very sporadic. Any service must be able to adapt quickly and with virtually no administrative requirements.
- Emergencies and other opportunities are by definition unknown and must be addressed immediately. Members must be found, availability needs to be quick determined and coordination will need to happen in an ongoing manner.
The following is a quick set of challenges facing community organization when needing to know their messages are heard.
- How do you communicate controlled information? How do you know everyone was reached and actually "heard" the message?
- Being able to send messages across devices –multiple phones, emails and other devices is very difficult. Do you know which device is best for each person?
- Relying on everyone to check all of their various mail boxes is not good enough. And what happens when their voicemail and/or email boxes are full?
- In crisis events, it is imperative to be able to know what the member’ answers have been. This says that there has to be an easy way to get the results of each phone tree, it must be able to adapt as people are found and their answers.

- Polling members to get speedy answers is immensely valuable to speed decision making. The following is a quick list we have heard from our community:
- Confirm attendance of members who had previously indicated they would attend. Polling allows for an additional touch with the volunteer as well as confirming their attendance.
- Find out availability of volunteers to participate in a special event.
- Emergency staffing needs there has been an emergency and there is an urgent need to locate as many members as possible and confirm their ability to "come help"
- Coordinate special events
- The time savings for coordinators (leaders) is significant (in many cases hours of effort) and the ability to be in control the "automated contact tree" throughout makes it great.
